Subsidies for ergonomic home offices: Who pays for what?

Working healthily from home is not a luxury, but a necessity. But who covers the costs of an ergonomic chair or a height-adjustable desk? Depending on your situation, subsidies or full coverage may be available from various providers. This guide will help you find the right contact person and submit your application successfully.

Your first step: Which agency is responsible for you?

The many options can be confusing. Follow this recommended order to find the right path for you:

  1. Always contact your employer first. Your employer is legally obligated to ensure a safe and healthy workplace – even when working from home. Always talk to your supervisor or the HR department first.
  2. For specific diagnoses: Your health insurance provider (GKV). If you already have a medically diagnosed chronic condition (e.g., of the back), your statutory health insurance provider is the next point of contact for medical aids.
  3. In special circumstances: Specialized agencies. The pension insurance, employment agency, employers' liability insurance association or integration offices come into play when special circumstances exist, e.g. after an operation, in case of threatened job loss, after a workplace accident or in case of a recognized disability.

1. Statutory health insurance funds (GKV): Subsidies in cases of medical necessity

The statutory health insurance (GKV) can subsidize aids such as ergonomic office chairs or height-adjustable tables if there is a clear medical necessity.

Requirements:

  • Medical prescription with an ICD-10 diagnosis, e.g. M54.5 for chronic low back pain.
  • Proof of a 12-week pain log including:
    • 4× daily entries on the Visual Analogue Scale (VAS, 0–10)
    • Activity-related progression (e.g. “Sitting >2 hrs → pain level 7”)
  • In individual cases: Oswestry Disability Index (ODI) ≥30% – not mandatory for all health insurance funds

Grant amount:

  • Up to €435 for an orthopedic office chair
  • Up to €1,200 for a height-adjustable table

2. German Pension Insurance (DRV): Severe restrictions since 2023

The German Pension Insurance (DRV) only funds regular ergonomic furniture in very limited exceptional cases to ensure participation in the workforce.

Eligible for funding:

  • Postoperative phase (maximum 6 months after surgery) – required: discharge report and rehabilitation plan
  • Severe scoliosis with a Cobb angle > 40° – imaging documentation (X-ray) is required.
  • Accident-related functional limitations – only after recognition through an accident insurance procedure

3. Employment Agency: Subsidies for those with at-risk employability

The employment agency can promote measures to maintain employability, especially in cases of physical limitations or as part of a reintegration process.

Requirements:

  • Participation in an MBOR (Medically-Vocational Rehabilitation) program
  • Assessment of a significant risk of disability by a physician or rehabilitation consultant
  • The person must be classified as "close to the labor market".

Funding rate:

  • 100% subsidy if a return to the previous workplace is realistic.
  • Reduced to a maximum of 60% if a career change or a reduction in working hours is expected.

4. Employers' Liability Insurance Associations (BG): In cases of demonstrably work-related illnesses

BGs are responsible when complaints are the result of a recognized occupational disease or an accident at work.

Requirements:

  • A completed accident insurance procedure in which the work-related exposure was officially recognized.
  • Proof of a daily sitting time of over 6 hours by means of a time tracking system over 12 months
  • Processing time: Please allow 4–8 months, as medical reports are often required.

5. Integration offices: For people with (recognized) disabilities

These agencies promote ergonomic equipment to ensure the participation of people with disabilities in working life.

Requirements:

  • Disability rating ≥50% or equivalent status from a disability rating of 30% according to the German Social Code, Book IX (SGB IX).
  • The work is predominantly (>50%) performed from home.
  • Proof that the existing living space does not readily allow for ergonomic adaptation

Funding level:

  • Up to 100%, even for special designs or custom-made products.

6. The employer: Legal obligation for prevention

According to Section 3 of the Occupational Health and Safety Act (ArbSchG) and the Workplace Ordinance, employers are always obligated to implement preventative measures, even in home offices. The costs cannot simply be passed on to employees.

Employer's obligations:

  • Conducting a risk assessment for the teleworking workplace
  • Provision or financing of ergonomically suitable work equipment
  • Employee training and adjustments in case of complaints arise

  • In case of inaction: Involve the works council, safety specialist or occupational safety authority.
